Program Agent

Number of positions: 3

Under the direction of the Supervisor, the Office Agent acts as a contact person for women wishing to participate in the program. He/she presents the services and eligibility criteria, and answers any questions future participants may have. They also receive and process admission requests (by telephone, e-mail or in person).

The Agent completes admission documentation in collaboration with the participant. Using the tools already in place, the Agent gathers the information needed to establish a complete picture of the participant's needs (state of health, family situation, financial and housing situation, socio-professional situation, material needs, etc.).

Based on the information gathered and the procedures in place, he/she creates an action plan with the participant and identifies the MBA partners (internal and external) to be mobilized in the case for each need.

The Agent liaises between the partners and the participant, and follows up regularly with each of them to ensure that the action plan is progressing towards meeting the identified needs. He also makes adjustments as needed. At all times, he/she ensures quality customer service that reflects the image of Community Support.

Primary Tasks and Responsibilities

  • Act as contact person for women wishing to participate in the Program (presentation of services, eligibility criteria, required documents, process, etc.). Responds to questions and requests.
  • Manage the e-mail box, telephone and coordinate appointments according to the participant's needs (reception, follow-up, material donations, etc.).
  • Receive and process program applications. 
  • Work with the participant to establish a complete picture of her needs (state of health, family situation, financial and housing situation, socio-professional situation, material needs, etc.).
  • Create an action plan and agree on a timetable with the participant.
  • Identify and contact Welcome Hall Mission partners (internal and external) to be involved in the participant's case.
  • Liaise between partners and participant.
  • Follow up regularly with partners and participant to ensure progress on action plan.
  • Evaluate if adjustments need to be made to the action plan and agree with the parties involved.
  • Ensure quality customer service in keeping with Community Support's image.
  • Perform various general administrative tasks.

  • Comfortable with working in a multicultural context
  • Good communication skills
  • Polite, courteous and professional
  • Two (2) years of experience in a similar role is an important asset
  • Proficiency in Microsoft Office Suite
  • Excellent oral and written skills in French
  • College diploma in a relevant discipline or related training
